How to Sync OneDrive Files to Your Computer
OneDrive lets you sync files between the cloud and your computer, so you can access them offline, work on them locally, and keep everything updated automatically. Syncing ensures that any changes you make are backed up to the cloud and available across all your devices.

π Step 1: Install the OneDrive App (If Needed)
Windows 10 & 11
OneDrive is built into Windows, so you donβt need to install anything.
- Click the π Windows Search Bar and type OneDrive.
- If OneDrive opens, skip to Step 2.
- If not installed, download OneDrive from Microsoftβs website.
Mac Users
- Download OneDrive for Mac from the Mac App Store.
- Open the OneDrive app and proceed to sign in.
β Once installed, youβre ready to sync files!
π Step 2: Sign In to OneDrive
- Open the OneDrive app.
- Enter your work email address and click Sign In.
- Follow the on-screen setup instructions.
β Now OneDrive is linked to your Microsoft 365 account.
π Step 3: Choose Folders to Sync
Windows & Mac
- Click the OneDrive cloud icon (π΅) in the system tray (Windows) or menu bar (Mac).
- Select βοΈ Settings > Account > Choose Folders.
- Check the boxes next to the folders you want to sync.
- Click OK to start syncing.
β Files will now sync between your computer and the cloud.
π Step 4: Access Your Synced Files
π Windows: Open File Explorer and click OneDrive in the left sidebar.
π Mac: Open Finder and look for the OneDrive folder.
β Files will appear just like any other folder on your computer.
π Step 5: Work on Files Offline & Sync Changes
β Edit files like normal β changes will automatically sync when you reconnect to the internet.
β Look for sync icons next to files:
- π’ Green Checkmark β File is synced and available offline.
- π Blue Sync Icon β File is updating.
- π΅ Cloud Icon β File is online-only (wonβt take up space).
β No need to manually upload or download β OneDrive does it for you!
π Step 6: Pause or Resume Syncing (Optional)
If you need to pause syncing temporarily:
- Click the OneDrive cloud icon (π΅) in the system tray.
- Select Pause Syncing and choose 2, 8, or 24 hours.
- Click Resume Syncing when youβre ready.
β This is useful when on slow internet or during important tasks.
π Step 7: Unsync a Folder (If Needed)
If you donβt want certain folders on your computer:
- Open OneDrive Settings (π΅ cloud icon > βοΈ Settings).
- Click Account > Choose Folders.
- Uncheck the folder(s) you want to remove from your computer.
- Click OK β files will still be available in OneDrive online.
β This helps free up space while keeping your data safe in the cloud.
