How to Use Chat, Channels, and Private Messages in Teams
Microsoft Teams makes it easy to communicate with coworkers using private messages, group chats, and team channels. Follow this guide to learn how to use each feature effectively.
๐ Step 1: Use Private Chat for One-on-One Conversations
Private chats are great for direct messaging a colleague without involving the whole team.
How to Start a Private Chat
- Click Chat ๐ฌ in the left menu.
- Click New Chat (pencil & paper icon โ๏ธ at the top).
- Type a colleagueโs name or email address.
- Type your message and press Enter to send.

How to Send Files, Emojis, and GIFs in Chat
- Click the ๐ (paperclip) to attach a file.
- Use ๐ (emoji) and GIFs to add personality.
- Click Format (A icon) to style text (bold, italics, bullet points).
๐ Step 2: Create and Use Group Chats
Group chats allow you to message multiple people at once, separate from team channels.
How to Create a Group Chat
- Click Chat ๐ฌ > New Chat โ๏ธ.
- Add multiple people to the chat.
- Give the chat a name (optional) by clicking the pencil icon at the top.

- All activity โ Get notified for every message.
- Mentions only โ Only get alerts when tagged.
