Step 1: Sign in to Microsoft Teams 📱💻
To start using Teams Phone, ensure you’re signed into Microsoft Teams on your computer and mobile device using your Microsoft 365 credentials.
Step 2: Check Your Teams Phone Number 🔢
- Open Microsoft Teams.
- Click the Calls tab to see your assigned Teams Phone number at the top.
- Contact your IT team if your phone number is not listed or incorrect.
Step 3: Make a Call with Teams Phone 📞
On Desktop:
- Click the Calls tab.
- Use the dial pad to enter the number, or type a contact’s name.
- Click the phone icon to start the call.
On Mobile (iPhone & Android):
- Open the Teams app.
- Tap the Calls tab.
- Tap the dial pad or type a contact’s name.
- Tap the phone icon to call.
Step 4: Answer Incoming Calls 📲
When someone calls your Teams phone number, you’ll see an incoming call notification. Simply click Accept to answer or Decline to reject.
Step 5: Transfer Calls to a Colleague 🔀
During an active call:
- Click More actions (…).
- Select Transfer.
- Type the name or number of your colleague.
- Select their name and confirm to transfer the call.
Step 6: Voicemail Setup 📬
Teams Phone includes voicemail. To set up your voicemail:
- Click your profile picture at the top-right corner.
- Go to Settings > Calls.
- Select Configure voicemail and follow the prompts to record a greeting.
Step 7: Set Call Forwarding and Delegation 📤
You can forward calls to another number or delegate call answering:
- Go to Settings > Calls in Teams.
- Set your preferences for Call Forwarding or Call Delegation.
