This Privacy Policy explains how Axio Networks LLC ("Axio Networks," "we," "us," or "our") collects, uses, and shares information when you visit axionetworks.com, use our client portal, or contact us. We keep it in plain English because we think you should be able to understand it without a lawyer.
1. Who we are and what this policy covers
Axio Networks LLC is a managed IT and cybersecurity provider headquartered in Scottsdale, Arizona, serving businesses across the Phoenix metro area. This policy applies to:
Our public website at axionetworks.com, including our blog and Knowledge Base;
Our client portal at portal.myaxio.com, to the extent we control the data collected there;
Emails, phone calls, and forms you use to contact us or request an assessment.
This policy does not cover the business data, systems, and end-user information we access while delivering managed IT, cybersecurity, or cloud services to our clients. That data is handled under the written service agreement between Axio Networks and each client, which controls in the event of any conflict with this policy.
2. Information we collect
Information you give us
We collect information you choose to provide, such as when you:
Submit a contact, quote, or Free IT Assessment form (typically your name, company, email address, phone number, and message);
Book a call or assessment consult through our online scheduler (your name, company, email address, phone number, and the time you choose);
Apply for a position through our Careers page (your resume and the details you include with it);
Call, email, or otherwise correspond with us;
Sign in to the client portal (login credentials, support ticket contents, and account details).
Information collected automatically
When you visit our website, our hosting provider and the analytics, CRM, and advertising tools described in Section 4 automatically collect technical information, including your IP address, approximate location derived from it, browser and device type, operating system, referring page, the pages you view and how long you stay, and the links you click. Some of this is collected through cookies and similar technologies. This browsing information is not tied to your name unless you later submit a form or book a meeting, at which point our CRM may associate your earlier visits to our site with your contact record so we understand what you were looking for before you reached out.
Information from other sources
Our website displays Google reviews through a third-party widget. Those reviews, reviewer names, and profile images are public information published by Google and the reviewers themselves. We may also receive business contact details from referral partners, vendors, or public professional directories (for example, LinkedIn) in the ordinary course of business.
3. How we use information
We use the information we collect to:
Respond to your inquiries, schedule assessments, and prepare proposals;
Provide, secure, and support services for our clients, including through the client portal;
Operate, maintain, protect, and improve our website;
Understand how visitors use our site and measure the effectiveness of our marketing;
Send occasional emails about our services, security alerts, or industry news (you can unsubscribe at any time);
Evaluate job applications;
Detect, investigate, and prevent fraud, abuse, and security incidents;
Comply with legal obligations and enforce our agreements.
We do not use automated decision-making that produces legal or similarly significant effects about you, and we do not follow up with prospects by text message unless you specifically ask us to.
4. Cookies, analytics, and advertising technologies
Cookies are small text files stored by your browser. Pixels and tags are small pieces of code that let a service know you loaded a page or took an action. Our website uses the following categories:

Measures whether our ads on social platforms lead to visits or inquiries, and may be used to show you Axio Networks ads on those platforms after you visit our site.

Loads third-party content shown on our pages, such as Google reviews and web fonts. These providers may receive your IP address when the content loads.

Your options
Browser settings: every major browser lets you block or delete cookies. Blocking strictly necessary cookies may cause parts of the site to stop working.
CRM tracking: blocking third-party cookies or scripts from nutshell.com and marketingcloudfx.com in your browser prevents this tracking; you can also ask us to delete your visit history and contact record at any time (see Section 9).
Our website does not currently respond to "Do Not Track" browser signals because there is no common standard for them. If you send a Global Privacy Control (GPC) signal from a jurisdiction that legally requires us to honor it, we will treat it as a request to opt out of the sharing of your information for targeted advertising.
5. How we share information
We do not sell your personal information, and we never have. We share information only in the following circumstances:
Service providers that help us run our business, such as web hosting and content delivery (Kinsta), email and productivity tools (Microsoft 365, including Microsoft Teams for scheduled video calls), our CRM and online scheduling platform (Nutshell), the transactional email service that delivers form and booking notifications to us (Postmark), analytics and advertising platforms (Google, Meta, LinkedIn), the reviews widget provider (Trustindex), and the platform behind our client portal. These providers are permitted to use your information only to perform services for us.
Advertising platforms, as described in Section 4. Under some U.S. state privacy laws, allowing advertising pixels to collect data on our site may be considered "sharing" or "targeted advertising." You can opt out using the options in Section 4 or by contacting us.
Legal and safety reasons, when we believe disclosure is required by law, subpoena, or court order, or is necessary to protect the rights, property, or safety of Axio Networks, our clients, or others.
Business transfers, if Axio Networks is involved in a merger, acquisition, financing, or sale of assets, in which case your information may be transferred as part of that transaction subject to this policy.
With your direction or consent, for example when you ask us to coordinate with one of your other vendors.
6. Client portal
Managed service clients receive access to a client portal at portal.myaxio.com for submitting and tracking support requests. The portal is operated on a third-party professional services platform under contract with Axio Networks. Information you enter there — including your login details, ticket descriptions, attachments, and contact information — is used to deliver support and is governed by your service agreement with us in addition to this policy. Please do not include passwords or other secrets in ticket descriptions; our engineers will use secure methods to collect credentials when they are required.
7. How long we keep information
We keep personal information only as long as needed for the purposes described in this policy, which generally means:
Inquiry, assessment, and scheduler submissions, and the related CRM records: up to 24 months after our last contact with you, unless you become a client;
Copies of form submissions stored by our website software: up to 12 months, after which they are deleted from the website (the CRM record remains subject to the period above);
Client and portal records: for the duration of the client relationship and for the period afterward required by our contractual, legal, tax, and insurance obligations;
Job applications: up to 12 months after the position is filled, unless you ask us to remove your application sooner;
Website analytics and CRM visit-history data: according to the retention settings of the provider (currently 14 months for Google Analytics user-level data; CRM visit history follows the CRM record above);
Server and security logs: typically 30 to 90 days, longer if needed to investigate an incident.
8. How we protect information
Security is our business, and we apply the same standards to our own systems that we recommend to clients: encryption in transit (HTTPS) across our website and portal, multi-factor authentication on our internal accounts, least-privilege access controls, endpoint protection, and continuous monitoring. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. If we learn of a security incident affecting your personal information, we will notify you as required by applicable law.
9. Your choices and privacy rights
Regardless of where you live, you can:
Unsubscribe from marketing emails using the link in any message or by contacting us. We will still send transactional messages related to services you use.
Ask us what personal information we hold about you — including your CRM record and any website visit history linked to it — and ask us to correct or delete it.
Opt out of analytics and advertising cookies as described in Section 4.
Arizona does not currently have a comprehensive consumer privacy law. If you live in a state that does — such as California, Colorado, Connecticut, Virginia, Texas, Oregon, or others — you may have additional rights to access, correct, delete, or obtain a copy of your personal information, to opt out of targeted advertising or the sale or sharing of your information, and to appeal a decision we make about your request. We honor these requests for all U.S. residents as a matter of policy, subject to verifying your identity and any exceptions permitted by law. We will not discriminate against you for exercising your rights.
To make a request, email [email protected] with the subject line "Privacy Request" or call 480-602-2946. We will respond within 45 days. You may designate an authorized agent to make a request on your behalf, in which case we may ask for proof of that authorization.
10. Children's privacy
Our website and services are intended for businesses and adults. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with personal information, please contact us and we will delete it.
11. Third-party websites and content
Our website links to third-party sites (for example, vendor and partner sites, Google, LinkedIn, and our review provider) and embeds content from third parties. We are not responsible for the privacy practices of those sites and services, and this policy does not apply to them. We encourage you to review their privacy policies before providing any information.
12. Visitors outside the United States
Axio Networks operates in the United States, and our services are directed to businesses in Arizona. If you visit our website from outside the United States, your information will be transferred to and processed in the United States, where privacy laws may differ from those in your country. By using our website, you consent to that transfer.
13. Changes to this policy
We may update this policy from time to time as our practices, technology, or the law changes. When we do, we will revise the effective date at the top of this page and, for material changes, post a notice on our website or notify clients directly. Your continued use of our website after a change takes effect means you accept the updated policy.
