Creating an Email Signature in Outlook (Windows)

Step 1: Open Outlook

  • Launch Outlook on your computer.
  • Click File in the top-left corner.

Step 2: Go to Signature Settings

  • Select Options → Mail → Signatures.

Step 3: Create a New Signature

  • Click New, name your signature (for example, “Work Email”), then click OK.

Step 4: Enter Your Signature Details

  • Type your name, job title, and contact information.
  • Use the toolbar to:
    • Change fonts and text sizes
    • Add links (such as your website or social media)
    • Insert images (like your company logo)

Step 5: Set a Default Signature (Optional)

  • Under “Choose default signature,” you can assign:
    • New messages – for all new emails
    • Replies/forwards – to include your signature in replies

Step 6: Save and Apply

  • Click OK to save your settings.

Creating an Email Signature in Outlook (Mac)

Step 1: Open Outlook

  • Click Outlook in the menu bar and choose Settings.

Creating an Email Signature in Outlook (Mobile)

iPhone & iPad

  1. Open the Outlook app.
  2. Tap your profile icon in the top-left corner.
  3. Go to Settings (gear icon).
  4. Scroll down and tap Signature.
  5. Enter your email signature text.
  6. Tap Save to apply.

Android Devices

  1. Open the Outlook app.
  2. Tap your profile iconSettings (gear icon).

Managing & Editing Your Signature

  • To edit an existing signature, return to the Signatures section in Outlook, make your changes, and save.
