📌 Understanding SharePoint Permissions
SharePoint permissions can be applied at multiple levels to help you control who can view or edit files:

📌 Step 1: Share a File or Folder in SharePoint
How to Share a File or Folder with Specific People
- Open SharePoint Online and navigate to your document library.
- Locate the file or folder you want to share.
- Click More options (… ) > Share.
- Enter the email address or name of the person you want to share with.
- Click the pencil icon to select a permission level:
- Can edit – Allows the user to modify, rename, or delete.
- Can view – Grants read-only access.
- Click Send to share.

📌 Step 2: Set Advanced File Permissions in SharePoint

How to Change File Permissions
- Right-click the file or folder and select Manage Access.

How to Stop Sharing a File
- Go to the document library and locate the file.
- Click More options (… ) > Manage Access.
- Click Stop Sharing to revoke all access.
✅ The file becomes private and is only visible to its owner.
📌 Step 4: Set Expiring Links for Extra Security
For files shared externally, use expiring links to automatically remove access after a set time.
How to Set an Expiring Link
- Click Share on the file.
- Choose People you specify can edit.
- Select Set expiration date and choose your preferred date.
- Click Apply > Send.
✅ Once the link expires, external users will no longer be able to open the file.

Administrators can limit sharing capabilities to prevent unauthorized or accidental external sharing.
How to Disable External Sharing (Admin)
- Go to the SharePoint Admin Center.
- Navigate to Policies > Sharing.
- Adjust settings to restrict or disable external sharing.
- Click Save.
