How to Share and Co-Edit Files in Microsoft Teams

Microsoft Teams makes it easy to share files and co-edit documents in real time without switching between apps. Whether you’re working on a Word document, Excel spreadsheet, or PowerPoint presentation, you and your teammates can work together simultaneously directly inside Teams. Here’s how.

How to Share a File in a Teams Channel

  1. Go to the channel where you want to share the file.
  2. Click the Files tab at the top.
  3. Click Upload to add a file from your computer, or New to create a document directly in Teams.
  4. The file is now available to everyone in the channel.
    ✅ All team members can see and open the file from the Files tab.

How to Share a File in a Teams Chat

  1. Open a chat in Teams (one-on-one or group).
  2. Click the attachment icon (paperclip) in the message bar.
  3. Select the file from your computer, OneDrive, or SharePoint.
  4. Click Send.
    ✅ The file appears in the chat and the recipient can open or download it.

How to Co-Edit a File in Microsoft Teams

  1. Open the Files tab in a channel or click on a shared file in chat.
  2. Click on the file to open it.
  3. The file opens in Teams (in the web editor).
    To edit with the full desktop app: click Open in Desktop App.
  4. Make your changes — other team members can edit simultaneously and you’ll see their changes in real time.
  5. All changes are auto-saved to SharePoint or OneDrive.
    ✅ No need to email files back and forth — everyone works in one shared version.

Sharing Permissions in Teams

  • Channel files are available to all channel members by default.
  • You can right-click a file and select Manage Access to restrict or expand permissions.
  • Files shared in private chats are only visible to chat participants.

Viewing Version History

  1. Right-click the file in the Files tab.
  2. Select Version History.
  3. Restore any previous version if needed.
    ✅ SharePoint keeps version history automatically.
