How to Create and Manage Email Rules in Outlook (Windows, Mac & Web)

Want to create email rules Outlook to tame your inbox and automate routine tasks? Outlook rules can automatically sort messages into folders, forward important emails, or flag items you don’t want to miss. Follow the steps below to create, edit, and manage rules in Windows, Mac, and Outlook Web.

Create an Email Rule in Outlook (Windows)

  1. Open Outlook and click File.
  2. Select Manage Rules & Alerts.
  3. In Rules and Alerts, click New Rule.
  4. Choose a template, such as:
    • Move messages from a specific sender (e.g., your manager → “Priority” folder)
    • Move messages with specific words (e.g., “invoice” → Finance folder)
    • Flag or categorize messages automatically
  5. Click Next, set your conditions (sender, subject, keywords, etc.).
  6. Click Next, choose your actions (move to folder, forward, mark as read, categorize).
  7. Click Finish to activate the rule.
    ✅ Your Windows Outlook rule is now active. Matching emails will be handled automatically.

Create an Email Rule in Outlook (Mac)

  1. Open Outlook and click Settings (gear icon).
  2. Select Rules and click + Add Rule.
  3. Name the rule (e.g., “Move Invoices to Finance”).
  4. Under When a message arrives and: set conditions (sender, subject, keywords).
  5. Under Do the following: set actions (Move to Folder, Mark as Read, Categorize, etc.).
  6. Click Save to activate.
    ✅ Your Outlook for Mac rule is now working and will process new mail automatically.

Create Email Rules in Outlook Web (OWA)

  1. Go to outlook.office.com.
  2. Click the Settings gear → Mail → Rules.
  3. Click + Add new rule.
  4. Name the rule (e.g., “Sort Client Emails”).
  5. Set conditions (e.g., From: [email protected]).
  6. Choose an action (e.g., Move to Folder, Categorize, Mark as Read).
  7. Click Save.
    ✅ Your Outlook Web rule is live and will apply to incoming emails.

Edit or Delete Email Rules

Windows

  • File → Manage Rules & Alerts → select a rule → Change Rule (edit) or Delete.

Mac

  • Settings → Rules → click the rule to edit or remove.

Outlook Web

  • Settings → Mail → Rules → select the rule to modify or delete.
    ✅ Changes take effect immediately.

  • Newsletters → “Read Later” folder automatically
  • From your manager → “Priority” folder
  • Subject contains “URGENT” → flag & pin
  • Subject contains “invoice” → move to Finance & categorize
  • From vendors → auto-categorize by vendor name
  • Known spam domains → delete or move to Junk (use cautiously)
