How to Set Up MFA for Microsoft 365 with Microsoft Authenticator

📌 Step 1: Install Microsoft Authenticator on Your Phone
For iPhone Users:
✔ Open the App Store.
✔ Search for Microsoft Authenticator.
✔ Tap Download and install the app.
For Android Users:
✔ Open Google Play Store.
✔ Search for Microsoft Authenticator.
✔ Tap Install.

📌 Step 2: Sign In to Your Microsoft 365 Account
1️⃣ Open a browser and go to https://aka.ms/MFASetup.
2️⃣ Sign in with your Microsoft 365 email address and password.
3️⃣ If prompted, click Set up Multi-Factor Authentication.
✅ You’re now ready to link your account with the Authenticator app!
📌 Step 3: Set Up Microsoft Authenticator as Your MFA Method
1️⃣ On the MFA setup screen, click Next.
2️⃣ Select Mobile App as your preferred authentication method.
3️⃣ Choose Receive notifications for verification, then click Next.
4️⃣ A QR code will appear on your screen.

📌 Step 4: Link Microsoft Authenticator to Your Microsoft 365 Account
1️⃣ Open the Microsoft Authenticator app on your phone.
2️⃣ Tap the + (Add Account) icon.
3️⃣ Choose Work or school account.
4️⃣ Tap Scan a QR code.
5️⃣ Use your phone’s camera to scan the QR code shown on your computer.
6️⃣ Once linked, click Next on your computer.
✅ Your Microsoft 365 account is now connected to Microsoft Authenticator!
📌 Step 5: Test Your MFA Setup
1️⃣ Microsoft will send a test approval request to your phone.
2️⃣ Open the Microsoft Authenticator app and tap Approve.
3️⃣ Click Next, then Done on your computer.
✅ Your MFA setup is complete! From now on, you’ll simply tap “Approve” to verify your logins securely.

✔ When signing in to Microsoft 365, enter your username and password as usual.

🚨 If you receive a notification you didn’t initiate, do not approve it. This may indicate someone is trying to access your account.
✔ Tap Deny in the Authenticator app.
✔ Immediately change your Microsoft 365 password.
✔ Report the activity to your IT department.

📌 Backup and Recovery Options for Microsoft Authenticator
If you lose or replace your phone, you can easily restore access:
✔ Enable Cloud Backup in the Authenticator app (Settings → Cloud Backup).
