How to Set Up MFA in Microsoft 365 with the Authenticator App

Multi-factor authentication (MFA) is one of the most effective ways to protect your Microsoft 365 account. By requiring both your password and a second factor (like a phone notification), MFA stops most account takeover attacks — even if your password is compromised. This guide walks you through setting up MFA in Microsoft 365 using the Microsoft Authenticator app.

What You’ll Need

  • A Microsoft 365 account (work or personal).
  • A smartphone (iOS or Android).
  • The Microsoft Authenticator app installed from the App Store or Google Play.

Step-by-Step: Set Up MFA with the Authenticator App

Step 1: Navigate to Security Info

  1. Sign in to your Microsoft 365 account at myaccount.microsoft.com.
  2. Select Security Info from the menu.
  3. Click Add sign-in method.

Step 2: Choose Authenticator App

  1. From the dropdown, select Authenticator app.
  2. Click Add.

Step 3: Install the App on Your Phone

  1. On your phone, open the App Store (iPhone) or Google Play (Android).
  2. Search for “Microsoft Authenticator” and install it.
  3. Open the app and tap “Add account”.

Step 4: Scan the QR Code

  1. Back on your computer, click Next in the setup wizard.
  2. A QR code will appear on screen.
  3. In the Authenticator app, select Work or school account.
  4. Tap Scan QR code and point your phone camera at the screen.
    ✅ The account will appear in the Authenticator app automatically.

Step 5: Test and Confirm

  1. Click Next on your computer.
  2. Microsoft will send a test notification to your phone.
  3. Tap Approve in the Authenticator app.
  4. Click Next and then Done.
    ✅ MFA is now active on your account!

How MFA Works Day-to-Day

After setup, when you sign in to Microsoft 365:

  1. Enter your email and password as usual.
  2. A notification appears on your phone.
  3. Tap Approve to complete sign-in.
    ✅ If you didn’t initiate the login, tap Deny to block unauthorized access.

Troubleshooting MFA Issues

  • Not getting notifications? Check your phone’s notification settings and internet connection.
  • Lost your phone? Contact your IT admin to reset MFA.
  • App not scanning the QR code? Try entering the setup key manually instead.
