How to Use Microsoft PowerPoint in Teams Meetings: Present Like a Pro

Microsoft Teams integrates seamlessly with PowerPoint, allowing you to deliver engaging and professional presentations directly within your Teams meetings. Whether you’re sharing a proposal, quarterly report, or training session, this guide will help you present with confidence — no screen-sharing confusion required.

🚀 Brought to you by Axio Networks, an award-winning Managed IT provider in Scottsdale, Arizona.
We help businesses optimize Microsoft 365 and Teams for smoother collaboration and professional virtual meetings.

📌 Step 1: Upload Your PowerPoint Presentation to Teams

Before you begin presenting, it’s best to upload your file directly to the Teams meeting — this ensures smooth playback and easy access for attendees.

How to Upload a PowerPoint File

  1. Join your Teams meeting.
  2. Click the Share icon (🔺 up arrow) in the meeting toolbar.
  3. Under PowerPoint Live, select:
    • A recent file, or
    • Click Browse > Upload from my computer to choose your presentation.
  4. Once uploaded, your slides will appear in the meeting window.

✅ Teams automatically handles slide transitions and optimizes display for all attendees.

Axio Networks Tip:
Always upload your presentation before the meeting starts to avoid delays.

📌 Step 2: Present Using PowerPoint Live

PowerPoint Live gives you powerful presentation tools without having to share your entire screen.

How to Present in PowerPoint Live

  1. Once your presentation is open, use the navigation arrows (< >) to move between slides.
  2. Hover your mouse near the bottom to view thumbnails of all slides.
  3. Use Presenter View (visible only to you) to see:
    ✔ Your notes
    ✔ Upcoming slides
    ✔ Attendee reactions and chat

✅ Your audience only sees your slides — not your notes or next slides.

📌 Step 3: Give Control to Another Presenter

If you’re co-presenting, Teams makes it easy to hand off control.

How to Share Presentation Control

  1. While presenting, click the Give Control button at the top of the screen.
  2. Select the participant you want to share control with.
  3. They’ll be able to advance slides until you take back control.

✅ Perfect for tag-team presentations or manager-led discussions.

📌 Step 4: Share PowerPoint by Screen (Classic Method)

If you prefer the traditional method or need to show animations, embedded videos, or macros:

How to Share PowerPoint via Screen Share

  1. In your meeting, click Share Screen (🔺 icon).
  2. Select the window running your PowerPoint presentation.
  3. Start your slideshow (F5 or Slide Show > From Beginning).
  4. Use Alt + Tab to switch back to Teams if needed.

✅ This method is ideal when using animations, videos, or add-ins not supported by PowerPoint Live.

📌 Step 5: Engage Your Audience During the Presentation

Keep your presentation interactive with Teams’ engagement tools.

How to Use Teams Engagement Features

Laser Pointer / Pen Tool: Highlight key points on slides.
Reactions 👍❤️👏: Encourage audience participation.
Chat 💬: Monitor questions in real time.
Polls (via Forms): Collect quick feedback or votes.

✅ A dynamic presentation keeps remote audiences focused and involved.

📌 Step 6: Record and Share Your Presentation

If your meeting is recorded, Teams automatically saves the presentation for playback.

How to Record a Teams Presentation

  1. In the meeting, click More (⋯) > Start Recording.
  2. After the meeting ends, recordings are stored in OneDrive or SharePoint.
  3. Share the recording link with attendees who missed the meeting.

✅ Great for training sessions, onboarding, or clients in different time zones.
