📌 Step 1: Who Can Record a Meeting
Only certain users can start or stop a recording in Microsoft Teams.
✔ Meeting organizers and participants from the same organization can start recordings.
✔ Guests and external attendees cannot record meetings.
✔ Recordings automatically stop when everyone leaves the meeting.
✅ Ensure your Microsoft 365 admin has enabled Teams meeting recording permissions before your meeting.
📌 Step 2: Start Recording a Teams Meeting
Starting a recording is simple and takes just a few clicks.
How to Record a Meeting
- Join your Microsoft Teams meeting.
- Click More (⋯) in the meeting toolbar.
- Select Start recording.
- A notification appears for all participants that the meeting is being recorded.
✅ The recording includes audio, video, and screen sharing activity.
Axio Networks Tip:
If you’re presenting slides, start recording after you begin your presentation to keep your recording clean and focused.
📌 Step 3: Stop or Pause a Recording
You can end the recording at any time.
How to Stop a Recording
- Click More (⋯) again in the toolbar.
- Select Stop recording.
- Teams will process and save the file automatically to OneDrive or SharePoint.
✅ Once stopped, the recording is saved automatically — there’s no “Save” button required.
📌 Step 4: Where Your Teams Recordings Are Saved
Teams automatically stores recordings securely in Microsoft 365:
✔ For standard meetings: The recording is saved to the OneDrive folder of the person who started the recording.
✔ For channel meetings: The recording is saved in the SharePoint document library of that channel.
File Locations
- OneDrive:
/Recordings/Meeting Name.mp4 - SharePoint:
/Documents/Recordings/Meeting Name.mp4
✅ You can easily share or manage recordings using Microsoft 365’s built-in file tools.
📌 Step 5: Share Your Meeting Recording
Sharing your meeting recording is as simple as sharing any OneDrive or SharePoint file.
How to Share a Teams Recording
- Locate the recording in OneDrive or SharePoint.
- Click Share.
- Choose sharing permissions:
- People in your organization (recommended)
- Specific people (invite-only access)
- Copy the link and share via Teams chat, email, or calendar invite.
✅ This gives your team access while keeping recordings secure.
📌 Step 6: Review and Manage Meeting Recordings
Recordings appear in the meeting chat after processing — typically within minutes.
How to Review a Recording
✔ Open the Teams chat or channel where the meeting occurred.
✔ Click the recording thumbnail to play directly in Teams.
✔ Use playback controls to pause, rewind, or skip sections.
How to Manage Recordings
✔ Download for offline viewing (if permissions allow).
✔ Delete outdated or sensitive recordings when no longer needed.
✔ Add notes or meeting summaries to the chat for quick reference.
✅ Recordings help ensure nothing is missed — especially for remote or hybrid teams.
💡 Axio Networks Pro Tip
To maintain compliance and storage control, implement Microsoft 365 retention policies for Teams recordings.
This ensures important meetings are archived securely while automatically cleaning up outdated files.
